Labs +

  1. Q. How do I create Labs?

    A. Select the menu button at the top right of the screen and select Lab Manager. This will take you to the Manage Labs page. Select the Labs. A text box will appear below the menu, where you can add a Lab Name. Select the + icon to add the new Lab.

  2. Q. Can I edit a Lab?

    A. Yes. Select the Labs button under Lab Manager. Scroll to find previously created Labs and select the Pencil Icon to the right of the Lab name. A pop-up window will appear which will allow you to edit that Lab's name.

Waste Streams +

  1. Q. How do I create a Waste Stream?

    A. Select the menu button at the top right of the screen and then select Lab Manager. On the Manage Labs page, Select Waste Streams. Scroll to 'Add a New Waste Stream' and type in the name of the new Waste Stream. Next, depending on which type of Waste Stream you are creating choose either Bottle or Sink. Select the + icon to the right of the newly added name to add the Waste Stream.

  2. Q. What's the difference between a Bottle Waste Stream and a Sink Waste Stream?

    A. A Bottle Waste Stream is a stream for any substances that are disposed of in Bottles. Bottles will be labeled with interim labels until they are ready to be disposed. Interim labels are replaced by final labels which will include a full listing of all contents, the individual volumes of each substance and mixture, and also all CLP compliant pictograms that have been added by the Lab Manager.

    A Sink Waste Stream is any substance that can be disposed of in a Drain/Sink. Sinks will only ever use an interim label and can accept an infinite amount of waste. Any number of the same Sink label can be used around a Lab.

  3. Q. Can I edit a Waste Stream?

    A. No, once created you cannot edit a Waste Stream.

  4. Q. How do I delete a Waste Stream?

    A. On the Manage Labs page, select Waste Streams. Scroll to 'Choose Existing' and select the dropdown menu. Select the Waste Stream you wish to delete, scroll to the bottom of the page and select Delete under 'Delete Waste Stream', then follow the instructions on the pop-up prompt to confirm.

Substances and Mixtures +

  1. Q. How do I add Substances?

    A. Select the menu button at the top right of the screen and then select Lab Manager. On the Manage Labs page, select Substances. Input the Substance name in the 'Substance name' field and select a Waste Stream from the dropdown.

    You may optionally add a CAS number and Hazard Codes that are relevant to the Substance. All these details will be automatically added to final labels on both Bottles and Containers.

    Select the + to the right of the CAS Number text field to add the Substance.

  2. Q. Can I add more than one Substance at once?

    A. No, but you can import multiple substances at once using a CSV file. Select Waste Streams, choose an existing Waste Stream or add a new one, then scroll to 'Import Substances'. Select Browse, and add a file in valid CSV format. Select Import to import the file.

  3. Q. How do I add Mixtures?

    A. Select the menu button at the top right of the screen and then select Lab Manager. On the Manage Labs page, select Mixtures. Scroll to the text field and input the Mixture name, then use the dropdown menus to add a Waste Stream. Mixtures must contain at least two different Substances. These can be searched for and added to the Mixture by selecting the 'Add Substances' dropdown.

    All pictograms and CAS numbers associated with Substances that are added to a Mixture will be automatically attributed to that Mixture as well.

    Select the + button to add the Mixture.

  4. Q. Can I add more than one Mixture at once?

    A. No, but you can import multiple Mixtures at once using a CSV file. Select Waste Streams, choose an existing Waste Stream or add a new one, then scroll to 'Import Mixtures'. Select Browse, and add a file in valid CSV format. Select Import to import the file.

  5. Q. Can I edit Substances/Mixtures?

    A. Yes, you can edit all related details except for their name. On the Manage Labs page, select Substances or Mixtures. Scroll to the added Substances/Mixtures and select the Pencil icon to the right of the Substance/Mixture you wish to edit. Follow the pop-up menu to edit the Substance/Mixture and select Update, Delete, or Cancel to finish.

  6. Q. What is a CSV file?

    A. A CSV File is a Comma Separated Values File. A CSV allows data to be saved in a table structured format. CSV files can be used with any spreadsheet program, such as Microsoft Excel, Open Office Calc, or Google Spreadsheets.

    If you have the information saved on an Excel/Open Office/Google Sheet/etc. spreadsheet all you will need to is save it as a CSV (It may be called Comma delimited). To do this, if you open up the relevant spreadsheet. Go to "File" and click "Save As". You will then see the window as shown above. Type in the relevant file name and click the down drop menu "Save as type" and select "CSV (Comma Delimited). "Export As" may be an alternative to "Save As" on some spreadsheet programs.

  7. Q. What format does my import Substances CSV file have to follow?

    A. The following is the exact format that Substance CSV files must follow:

    • Column 1: Name: The intended name of the Substance
    • Column 2: CAS Number: CAS Numbers are up to 10 digits long using the format xxxxxxx-yy-z
    • Column 3: Hazard Codes: Hazard codes should follow the format of HXXX. Each code should be placed in the same column and separated by a comma

    Note: Column headings should not be included in the exported CSV files.

  8. Q. What format does my import Mixtures CSV file have to follow?

    A. The following is the exact format that Mixture CSV files must follow:

    • Column 1: Name: The intended name of the Mixture
    • Column 2 or more: Substance Name: Susbtances must exist within Chemishield before they are imported as part of a Mixture. Each Substance must be listed in its own column.

    Note: Column headings should not be included in the exported CSV files.

    Example:

Bottles and Labels +

  1. Q. How do I view the contents of a Bottle?

    A. Select the menu button at the top right of the screen and select Lab Tech. On the main menu at the top of the page, select Scan Bottle.

    Scan the Bottle you wish to view the contents of and Chemishield will produce a pop-up containing the current version of the final label. This label will contain the full contents and volumes of the Bottle.

  2. Q. Can I reprint labels?

    A. Yes, you can reprint labels at any time.

    Select the menu button at the top right of the screen and select Lab Tech. On the main menu at the top of the page, select Print Labels.

    Select the Bottle which you want to reprint the label for and Chemishield will produce a pop-up containing either an interim or final label depending on the state of the Bottle. Select the print button in the top left of the pop-up to print the label.

  3. Q. Can I dispose of a Bottle before it is full?

    A. Yes, a Bottle can be disposed of before it is full.

    Select the menu button at the top right of the screen and select Lab Tech. On the main menu at the top of the page, select Scan Bottle.

    Scan the Bottle you wish to dispose of and Chemishield will produce a pop-up containing the current version of the final label. This label will contain a "Deactivate" button. Select the "Deactivate" button to mark the Bottle as ready for disposal.

  4. Q. Can I reuse a Bottle?

    A. Yes, you can reuse a Bottle once it has been decanted.

    Select the menu button at the top right of the screen and select Disposal Operator. Select Decanted on the Disposal Operator homepage.

    On the Decanted page, select the Bottle you wish to reuse and you will be taken to the Bottle's information page. Select the "Reuse" button. The Bottle will become immediately available for reuse.

  5. Q. How do I decant a Bottle?

    A. Select the menu button at the top right of the screen and select Disposal Operator. Select Bottles on the Disposal Operator homepage.

    On the Bottles page, select or scan the Bottle you wish to decant and you will be taken to that Bottle's page. Select the "Decant" button. Chemishield will ask you to scan the Bottle you wish to decant.

    Once you have scanned the Bottle you will be taken to the Container page. If there are no Containers available, create one and print and attach the label to the new Container. If a Container is available, select the Container

    Chemishield will ask you to scan the Container in which you wish to decant waste. Once you scan the Container, Chemishield records the contents of the previously scanned Bottle as being contained in the just scanned Container. You can now decant your bottle in to that Container.

Containers +

  1. Q. How do I create a Container?

    A. Select the menu button at the top right of the screen and then select Disposal Operator. On the Disposal Operator homepage, select Containers.

    On the Containers page enter the size of the Container in the text field in litres, choose a Waste Stream, then select Create. Select the print button on the pop-up to print the Container's label and stick it on the Container.

  2. Q. How do I dispose of a Container?

    A. Select the menu button at the top right of the screen and then select Disposal Operator. On the Disposal Operator homepage, select Containers.

    On the Containers page Scan or scroll to choose an existing Container. On the Container page, select "Dispose". Scan the relevant Container and Chemishield will immediately record the Container as being disposed.

  3. Q. Can I dispose of a Container before it is full?

    A. Yes, you can dispose of a Container at any time by using the process outlined above.

Disposing Waste +

  1. Q. How do I dispose of Waste?

    A. Select the menu button at the top right of the screen and then select Lab Tech. Select 'Dispose Waste' from the menu at the top of the screen. Select the + icon for either a Substance or Mixture.

    Choose the relevant Substance/Mixutre from the dropdown in the pop-up screen. Input the amount of waste to be disposed in millilitres and select the Lab the waste is being disposed in from the Lab dropdown. Once the details are entered, select "Dispose". The Substance/Mixture is now staged and ready to be added to a Bottle. You can dispose of as many Substances/Mixtures as you want at the same time by repeating the previous steps. Once happy with your disposal list, press the Right Arrow at the bottom right of the page to continue.

    Note: There are two flows for disposing of waste. The first flow is for when a new Bottle is required and the second is when reusing an already existing Bottle.


    A new Bottle is needed

    The Disposal Bottles screen will show that a new Bottle or Bottles need to be created. Review the waste to be disposed and if happy, select the Right Arrow.

    Chemishield will ask you to enter a capacity, in millilitres, for the new Bottle. Select "Create" once the capacity has been entered.

    The Disposal Bottles screen will show the Bottle/Bottles and the amount to be added to it. Review the waste to be disposed and if happy, select the Right Arrow.

    The Disposal Bottles screen will update and add a tick beside the waste to be added to the Bottle. You can toggle waste to remove or add back the waste to the Bottle. Review the waste to be disposed and once satisfied, select the Right Arrow.

    At this point, Chemishield records that the waste has been added to the new Bottle. A confirmation screen appears and a label for the Bottle can be printed, by selecting the print icon, and attached to the new Bottle.


    A Bottle already exists

    The Disposal Bottles screen will show the Bottle/Bottles and the amount to be added to it. Review the waste to be disposed and if happy, select the Right Arrow. Chemishield will prompt you to scan the Bottle/Bottles. Once the Bottle/Bottles have been scanned, select the Right Arrow at the bottom right of the screen. At this point, Chemishield records that the waste has been added to the Bottle. A confirmation screen appears and a label for the Bottle can be printed, by selecting the print icon, and attached to a Bottle if required.

Users +

  1. Q. How can I view/add Users?

    A. As an Account Owner: Select the menu button at the top right of the screen and then select Account Owner. Select Users and scroll down. Current users, their roles and account status are listed in the User table.

    To add a new user, under 'Invite User' input the user's email and select the Role of the new User. A Staff ID and the forename and surname may also be optionally entered. To complete the invite process, select the + icon to add the User.

    As a Lab Manager: select the menu button at the top right of the screen and then select Lab Manager. Select Usersand scroll down. Current users, their roles and account status are listed in the User table.

    To add a new user, under 'Invite User' input the user's email and select the Role of the new User. A Staff ID and the forename and surname may also be optionally entered. To complete the invite process, select the + icon to add the User.

  2. Q. What is the Staff ID field?

    A. The Staff ID field allows Chemishield users to be identified in a flexible way, as best decided by the Account Owner or by a company's policy. Staff ID can be a name, staff number or any other identifier of your choosing. This identifier is how a user will be identified in all Chemishield logs. If no Staff ID is entered, an alphanumeric string will be used to represent the user.

  3. Q. How do I edit a User?

    A. As an Account Owner: Select the menu button at the top right of the screen and then select Account Owner. Select Users and scroll to the bottom. Find the User you want to edit and select the Pencil icon to the right of their name. Follow the pop-up window instructions to edit the User.

    As a Lab Manager: Select the menu button at the top right of the screen and then select Lab Manager. Select Users and scroll to the bottom. Find the User you want to edit and select the Pencil icon to the right of their name. Follow the pop-up window instructions to edit the User.

  4. Q. How can I delete a User?

    A. As an Account Owner: Select the menu button at the top right of the screen and then select Account Owner. Select Users and scroll to the bottom. Find the User you want to delete and Select the Red X icon to the right of their name. Follow the pop-up window instructions to delete the User.

    As a Lab Manager: Select the menu button at the top right of the screen and then select Lab Manager. Select Users and scroll to the bottom. Find the User you want to delete and Select the Red X icon to the right of their name. Follow the pop-up window instructions to delete the User.

Reports +

  1. Q. Can I view who has used Chemishield and when?

    A. Yes, you can see who did what and when they did it. Select the menu button at the top right of the screen, then select Lab Manager. On the Manage Labs page, Select Usage Reports. Below the menu, select 'Audit Log' and choose a From and To date, or use the 'Search' Text field to search for Keywords. The Audit Log will appear in the table below.

  2. Q. Can I view/download Reports for Waste Usage?

    A. Yes, Chemishield provides a full breakdown of all waste disposed within a given time period. Select the menu button at the top right of the screen, then select Lab Manager. On the Manage Labs page, Select Usage Reports. Below the menu, select 'Analytics Reports'. To view reports, choose a From and To date, or search Keywords in the text field. To download reports, select the Download Waste Breakdown Report button above the selected dates.

Subscriptions +

  1. Q. What happens at the end of the trial period?

    A. You will lose access to your Chemishield data, unless a payment method has been provided by the end of the trial or within a period of 7 days of trial completion. The data will be retained and a mechanism is in place to allow the account owner to reactivate their account if a payment is made within the 7 day grace period.

  2. Q. Does my subscription automatically renew?

    A. Yes, your monthly and annual subscriptions will automatically renew.

  3. Q. How do I transfer ownership of the account to a different user?

    A. Select the menu button at the top right of the screen and then select Account Owner. Select Settings and scroll to the dropdown menu under 'Transfer Ownership'. Select the account you wish to transfer ownership to and select Transfer. You can also choose to delete the payment method by checking the box next to Transfer.

  4. Q. How can I cancel my subscription?

    A. Select the menu button at the top right of the screen and then select Account Owner. Select Settings and scroll to 'Cancel Subscription'. Select Cancel and follow the pop-up menu.

    Your subscription will be cancelled. You will still have access to Chemishield until the end of final day of your subscription.

  5. Q. How can I view/update my payment information?

    A. Select the menu button at the top right of the screen and then select Account Owner. Select Payment Details.

    To update/add a card, type in the Card Number, Expiry and CVC. Then Select Add New/Update Card.

  6. Q. How can I change/update the number of licences for my plan?

    A. Select the menu button at the top right of the screen and then select Account Owner. Select Payment Details. You can view the number of licences currently associated with your account in the User Licences input.

    To update the number of licenses, enter the number you wish to associate with your plan in the User Licenses text input and select Save to update the number of licenses.

  7. Q. How can I change/update my subscription plan?

    A. Select the menu button at the top right of the screen and then select Account Owner. Select Payment Details. You can view your Current Plan and choose between Monthly or Yearly Plan. Select the plan you wish to be on and select Save to update the plan.

  8. Q. Can I view/download Invoices?

    A. Select the menu button at the top right of the screen and then select Account Owner. Select Invoices. Below the menu, your invoices will be listed. To download an invoice, find the one you require and select Download to the right of the selected invoice.

Site Details +

  1. Q. How do I add my Site Details?

    A. Select the menu button at the top right of the screen and then select Account Owner. Select Site Details. Below the next menu you can add/update Site Details by typing in the Site Name, Address and Label Prefix, then Select Update.

  2. Q. What is the significance of adding Site Details?

    A. The Site Details including the site name, address and label prefix will all appear on both the interim and final labels that are attached to Bottles, Sinks and Containers. These details are a key feature for ensuring CLP compliance.
